One calendar for your private life and every workspace you're in. Reminders, recurring events, invites, and an AI that can read and book events with your permission.
Get started — your first event
Open the calendar, add an event, see it show up. That's the whole loop. Everything else is decoration.

Open the Calendar
From the main menu (left side), click Calendar. You'll land on a month grid showing the current month with today highlighted.

Click the “+ Event” button
Top-right of the calendar. A small modal pops open ready for you to type.

Type a title and pick a time
Title like “Dentist” or “Project sync.” The date and start time are pre-filled to a sensible default — change them by clicking the date pill.

Hit Enter to save
The event appears on the grid immediately. No “Save” button needed — Enter is enough.
You can also double-click any empty day cell in the month view to open the modal with that day pre-selected. Same modal, less clicking.
My Calendar vs Workspace calendars
Every event belongs to one calendar. Your private one, or one shared with a team.
In plain English
Workspace — a shared space inside Colix that a team or project lives in. Think of it like a group chat that also has files, tasks, and a calendar. You can be in many workspaces at once.
When you create an event, the modal asks “Add to:” with a dropdown. The default is My Calendar — only you can see it. Pick a workspace from the dropdown to share the event with everyone in that workspace.
My Calendar
Private. Only you see it. Use for personal stuff: appointments, gym, reminders, anything you don't want your team in.
Workspace calendars
Shared. Everyone in that workspace sees the event in real time. Use for meetings, deadlines, anything the team should know about.
On the left side of the calendar there's a panel called Calendars with a checkbox next to each one — your personal calendar, every workspace you're in, and any external accounts you've connected. Uncheck a calendar to temporarily hide its events from the grid. The choice is remembered next time you open the page.
The Calendars panel is part of the mini-month rail on the left. If you don't see it, tick the Mini months checkbox at the top of the calendar.
Month, Week, Day, Agenda
Same calendar, four ways to look at it. Pick whichever helps you think.
Month
Overview of the whole month. Best for seeing patterns and scanning ahead. The row containing this week is tinted so it's easy to spot.
Week
Seven days side-by-side with hour slots. The clearest view for planning a busy work week.
Day
One full day, hour by hour. Useful for tightly-packed days where you want to see everything in sequence.
Agenda
A clean list of what's next, grouped by day. Best on small screens or when you just want to read what's coming.
The view switcher sits at the top-right of the calendar. You can also press a single key on your keyboard: M for Month, W for Week, D for Day, A for Agenda. Press T any time to jump back to today.
The little three-month strip on the left (the mini-month rail) lets you jump to any date with one click — useful when you're working in Day or Week view and want to jet forward a few weeks without losing your place.
Reminders
Get a little ping before an event starts so you don't miss it.

Open or create an event
Click an existing event to edit it, or use “+ Event” to make a new one.

Pick a Reminder option
Inside the modal there's a Reminder dropdown. Common choices: 5 min before, 15 min before, 1 hour before, 1 day before.

Save the event
Colix's background service runs every few minutes and pings you when the time comes — both on screen (a toast) and as a browser notification if you've allowed them.
In plain English
Toast — a small notification that slides in from a corner of the screen and disappears on its own after a few seconds. It's a gentle alert, not a popup you have to dismiss.
If you create an event without picking a reminder, Colix defaults to 15 minutes before so you never get caught fully unprepared. You can change that to “No reminder” per-event if you don't want one.
Repeating events
From “every Tuesday” to “every 2nd Friday until next year” — Colix speaks the whole spectrum.
The Repeat dropdown inside the event modal has the common patterns ready to go:
- Does not repeat
- Every day
- Every weekday (Mon–Fri)
- Every week
- Every 2 weeks
- Every month
- Every year
- Custom… — opens a small editor for anything that doesn't fit the presets
Pick Custom… and you get four fields:
Frequency + interval
“Every N days / weeks / months / years.” Change the number to skip — “every 3 weeks” is just frequency = Weekly, interval = 3.
Days of the week (weekly only)
Tap the S/M/T/W/T/F/S buttons to pick exactly which days. “Mon/Wed/Fri” is a single tap on three buttons.
When it ends
Never (forever), on a specific date (e.g. “until Dec 31”), or after N occurrences (“after 10 sessions”).
Live preview
Below the form you'll see a sentence describing what you built: “Every 2 weeks on M/W/F until Mar 15, 2026.” That's exactly what gets saved.
You can mix this with workspace events — set up a weekly standup that repeats every Monday for the next quarter, share it with your team's workspace, and everyone sees the same recurring slot.
Invite people
Add attendees to any event, let them say Yes / No / Maybe, see who's coming.
In plain English
RSVP — short for the French Répondez s'il vous plaît — “please reply.” In a calendar app it just means your answer to an invite: Accepted, Declined, or Tentative (a polite “maybe”).

Add the people you want to invite
When creating or editing an event, scroll to the attendees row and add coworkers by their name. Each invitee gets a row with their current RSVP state (Pending until they reply).

They see the event on their calendar
Once you save, the invitees see the event on their own My Calendar straight away. Owners + workspace members can still see and edit it from the original calendar.

Each invitee picks an RSVP
Three buttons on their copy of the event: Accept, Decline, Tentative. Their choice updates in real time for everyone who can see the event.

Anyone can leave
An invitee can remove themselves from an event without needing edit rights. The event stays for everyone else; just their row goes.
Personal events with attendees are a great way to set up a 1:1 coffee with a colleague without needing a full workspace. The event is yours, they see it on their calendar, they RSVP — and nobody else is involved.
Tasks show up automatically
Any task with a due date appears on the calendar as a read-only 📌 marker.
You don't have to do anything to make this happen. The moment you set a due date on a task in the Tasks page, it shows up on the right day on the calendar grid.
Read-only on the calendar
You can see it, but you can't move it by dragging or open the event modal on it. To change a task, click through to the Tasks page.
Colour by status
Amber while the task is still open, green once it's done. That gives you a quick visual sense of what's on the runway vs already shipped.
Want a task and a real calendar block on the same day? Create the task with its due date, then add a separate event for the time you plan to actually work on it. The 📌 marker and the time-slot event live side by side on the day cell.
Outlook & Google calendars
Connect an external account once and your events from there show up alongside Colix's.
In plain English
Sync — short for “synchronise.” Colix keeps a copy of your Outlook / Google events in the background and refreshes them automatically. You don't have to press any “refresh” button — when a coworker books a meeting with you in Outlook, it shows up here a few minutes later.

Open Settings → Integrations
From the main menu, head to your account settings and find the Integrations panel.

Click Connect for Outlook or Google
You'll be sent to Microsoft or Google's sign-in page to grant Colix read-only access to your calendar. We never get your password — just a permission token you can revoke at any time.

Wait a moment, then refresh the calendar
After connecting, give Colix a minute or two to pull in your existing events. Open the Calendar page and you'll see a new entry in the left-side Calendars list: “Outlook ([email protected])” or “Google (…).”

Toggle it on / off like any other source
External events are read-only — you can't edit them inside Colix. Clicking one will offer to open it in the original calendar app where you can change it.
Use the Calendars toggle list to hide an external account temporarily — say, when you want to focus only on Colix workspace events without the noise of your personal Google calendar appearing on the grid.
Ask AI about your calendar
Type a question or instruction. The AI reads only what you can see, and asks before changing anything.
If you've connected Colix to an AI assistant (like Claude Desktop), it can ask Colix about your calendar and even create / move events for you. Examples of things you can ask:

MCP — short for Model Context Protocol. It's the language AI apps like Claude use to talk to other apps. You don't need to understand it — it just means Colix and your AI can have a conversation about your stuff securely.
What the AI is allowed to do
- Read: only events you can see — your personal calendar, the workspaces you're a member of, and invites where you're listed. It can't peek at other people's private calendars or workspaces you're not in.
- Write: it can propose to create, edit, or delete events — but you see the proposal and confirm it before anything actually changes. The AI never silently modifies shared workspace data.
- Audit: every AI read and write is logged. You can see what the AI did on your behalf in Settings → AI → Activity.

Find an event
By title, attendee, location, or keyword. Search ranges across every calendar you can see.

Click the search icon
Top of the calendar page, next to the view switcher. Or press the / key from anywhere on the calendar to open it.

Type a few characters
Results appear as you type — by event title first, then matching attendees, then matching locations. Press ↑/↓ to navigate and Enter to jump to that event.

Press Escape to close
The grid stays where it was — the search panel just disappears.
Search respects your calendar visibility toggles. If you've hidden a workspace's calendar via the left panel, search will not show events from it. Turn it back on if you want it included.

On Mac, Cmd usually plays the role of Ctrl. Where this guide shows either, both work.
Common questions
Quick answers to the things people most often ask.
Where do my events live? Are they on my computer or in the cloud?
Both. Colix keeps the canonical copy on its server so you can see your calendar from any device. Your browser caches the events you're looking at right now so the page loads fast.
I created an event but a teammate can't see it.
Check the “Add to:” dropdown when you create the event. If it said “My Calendar,” the event is private to you. Edit the event and change “Add to” to the relevant workspace.
I hid a calendar, now I can't find an event I know exists.
Open the Calendars panel on the left and tick the calendar back on. Search also respects this filter, so hidden calendars won't appear there either.
An Outlook event isn't showing up.
External calendars sync in the background every few minutes. If it's been longer than that, head to Settings → Integrations and click “Resync now” on the affected account.
Can the AI delete my events without asking?
No. Every write the AI proposes shows up as a confirmation step — you approve or reject it. The audit log in Settings shows every read and write the AI made on your behalf.
Why does my recurring event need an end date?
It doesn't — “Never” is a valid choice. End dates just help keep the calendar grid uncluttered for things you know aren't forever (a 12-week course, a quarterly review series, etc.).
